Step 4 | Determine project administration

Ironing out the project administration details, including meeting cadence, knowledge management, and the project work plan will help ensure things run smoothly. The Logistics Manager should initially team with the Engagement Leader to determine and/or confirm project administration details, and has responsibility for overall execution and maintenance in this regard going forward.

Meeting Cadence

Sponsor Team:

Schedule monthly 1-hour check-in calls for the larger Sponsor Team and Project Team throughout the duration of the project.

Project Team:

Schedule bi-weekly 1-hour check-in and planning calls with the internal Project Team. Core Sponsors will be invited to participate, as needed.

Knowledge Management

Create a shared, online folder (i.e. Google Drive, Basecamp, Dropbox, etc.) to enable internal project collaboration and house all pertinent documents pertaining to the design journey. Folder access should be limited to Sponsor Team and Project Team.

Project Work Plan

Create a Design Journey Milestones spreadsheet work plan to document action items and accountabilities for each project phase. This document should be housed in the designated shared folder.
